Opportunity:
An opportunity exists in PSG-Project Services Global, ON, Canada office for a highly motivated Administrator, to join our multidisciplinary team. Stakeholder management, interdisciplinary coordination, communication is required soft skills towards developing and maintaining new and existing clients.
Key Responsibilities
- Performed administrator tasks such as planning and coordinating meetings, handling office mails, transcribing meeting agendas and minutes, compiling data, creating reports, ordering office supplies.
- Supported Senior Management through the maintenance of personal and business schedules, maintaining positive relationships with vendors and clients through professional and prompt business correspondence
- Use effective time management skills while scheduling and providing regular up-to-minute meeting logistics on demand
- Provided exceptional customer service by appropriately answering client concerns, forwarding messages, and confirming appointments as necessary
- Prepares confidential reports, as well as meeting agendas, action logs, and presentations, ensuring accuracy, proper formatting, and timely delivery of information.
- Collects and organizes data, and performs some analysis, in order to provide useful information to leaders and assist in making informed decisions.
- Maintains a complete and organized departmental record-keeping system based on records management practices.
- Maintains and orders office supplies.
- Organized company events, including Fun Fridays, Annual meet Retreat, and impromptu employee gatherings
- Makes recommendations on enhancements to streamline and improve the administration, coordination, and delivery of programs and processes.
Capabilities and Credentials
- University degree in Business Administration
- Minimum of 1-3 years of experience
- Highly proficient in the Microsoft Suite applications (PowerPoint, Excel, Word) with strong knowledge in the use and functionality of Outlook
- Ability to work independently in a fast-paced operational environment.
- Excellent interpersonal skills with proven ability to provide courteous, reliable administrative support that demonstrates a commitment to high-quality customer service
- Excellent learning ability
- Exposure working within the consultancy sector.
- Exposure working in the Canadian construction market.
- Good communication within the team and with stakeholders
- Ability to manage multiple priorities and prioritize tasks to ensure quality and on-time delivery of work
- Demonstrates self-motivation; proactively anticipates others’ needs, finds innovative and creative solutions to solve problems, and gets work done with little direction
- Excellent verbal communication and soft skills.
- The ability to work in English and French is considered an asset.
